Managing Conversations

Summary

The Inbox in Jewlerist keeps customer and vendor communication beside related orders, tasks, and designs. You can log WhatsApp chats, Instagram DMs, emails, phone calls, and shop visits manually for the workspace.


Who this is for

This article is for anyone who talks with customers or vendors and wants a shared, traceable record of those exchanges — especially when several team members handle the same client.


Creating a conversation

Go to Inbox in the sidebar and click New conversation. You will be asked for:

  • Subject: What the exchange is about (required).
  • Channel: Where it happens — email, phone, WhatsApp, Instagram, or in person.
  • Priority: Low, normal, high, or urgent.
  • Assignee: The team member responsible, if assignments are used in your workspace.
  • Who is it from: An existing contact (customer or vendor) or an unidentified sender identified by name and handle (e.g. @anasilva).
  • First interaction: The message that started or continues the exchange. You can attach files to it before creating the conversation.

Reading the detail page

A conversation detail page uses the same header layout as an order:

  • Subject and reference at the top, with the status picker on the right (Pending, In progress, Waiting on customer, or Done).
  • Labels under the subject for the customer, vendor, or sender, plus assignee, created date, and last activity — not badges or divided sections.
  • Notes: Internal notes about the conversation, editable inline in that same header card.
  • Timeline: Every interaction and automatic event (created, archived, status changed, records linked) oldest first.

Logging interactions and attaching files

Use the composer at the top of the timeline to log what was said:

  1. Choose the direction: Incoming (they wrote) or Outgoing (you replied).
  2. Type the message content.
  3. Optionally click Add files to attach photos, documents, or PDFs to the interaction.
  4. Click Log interaction.

You can also add files to an existing interaction with the Add files button under it. Attaching files requires the Manage Documents permission.

Interactions are a permanent record: you cannot delete them after the fact, so log corrections as a new entry or edit the text while the conversation is still active.


Linking records

Conversations usually lead to work. Use the sidebar to link the related Tasks, Orders, Designs, and (once an order is linked) Payments. Linked records appear on the conversation, and contextual create buttons pre-fill the new record with the conversation's contact.


Statuses

  • Pending: The conversation has not been worked on yet.
  • In progress: Someone is actively handling it.
  • Waiting on customer: You replied and the ball is in their court.
  • Done: The exchange is finished; done conversations leave the default list.

Archiving removes a conversation from the active list but keeps it read-only for future reference. Permanent deletion is only available for archived conversations and removes the entire timeline.
